Webinar Recap: Navigating AI in Research Paper Writing – A Conversation for University Librarians

Artificial Intelligence (AI) is transforming research workflows across institutions, presenting both opportunities and challenges. In a recent webinar hosted by Paperpal, experts Dr. Cheryl Tosh and Dr. Johanna Lahikainen shared their experiences and insights into the integration of AI in academic writing.

Dr. Cheryl Tosh, a PhD holder in Zoology and an experienced science editor at the University of Pretoria, South Africa, has observed the impact of AI-driven writing tools on research outputs. Dr. Johanna Lahikainen, Chief Information Specialist at the University of Helsinki, Finland, leads the university’s AI initiatives and has been actively involved in shaping AI policies and integrating AI tools into academic workflows.

The discussion explored the benefits and risks of AI adoption, institutional guidelines, the role of librarians, and best practices for using AI responsibly in research writing.

The Growing Role of AI in Research Writing

Both panelists highlighted the increasing use of AI writing tools in academic institutions. According to Dr. Tosh, AI tools are particularly beneficial for non-native English speakers, making research writing more accessible. The University of Pretoria has seen a surge in AI-assisted writing, primarily through tools like ChatGPT, Paperpal, and Grammarly. However, Dr. Tosh pointed out that while free tools offer convenience, institutional AI subscriptions often provide better accuracy and ethical safeguards.

At the University of Helsinki, Dr. Lahikainen emphasized that AI adoption has been rapid, with various trials conducted on AI-powered research assistants. Helsinki University has developed its own AI-powered chat model, “Gora Chat,” to ensure compliance with EU data regulations, reducing risks associated with third-party AI tools.

Institutional Policies and Ethical Considerations

A significant part of the discussion revolved around AI policies and ethical concerns. Dr. Lahikainen explained that European Union (EU) regulations play a crucial role in defining AI use cases in academia. The University of Helsinki has formulated AI guidelines for students, teachers, and researchers, based on EU directives, which emphasize data privacy, intellectual property rights, and AI literacy.

Dr. Tosh acknowledged that while AI policies are still evolving in South Africa, there is a growing awareness of the need for responsible AI use. The University of Pretoria requires students to disclose AI usage in their academic work and adhere to ethical writing standards. However, she pointed out that more comprehensive regulations are necessary to address plagiarism, data privacy, and the risks of AI-generated misinformation.

Benefits of AI in Research and Writing

  1. Enhancing Accessibility: AI has proven to be a great equalizer for researchers with language barriers. Writing tools help non-native speakers refine their manuscripts, saving time and effort.
  2. Speeding Up Literature Reviews: AI tools like Paperpal and Consensus are revolutionizing literature review processes by quickly scanning and summarizing relevant research papers.
  3. Improving Writing Quality: AI-powered editors provide grammar corrections, paraphrasing suggestions, and clarity enhancements, helping researchers refine their work.
  4. Data Management: AI helps in structuring and analyzing large datasets, allowing researchers to focus on insights rather than manual data handling.

Challenges and Concerns

Despite its advantages, AI also brings challenges that institutions must address:

  • Plagiarism and AI Detection: Many AI-generated texts may not include proper citations, raising ethical concerns. Institutions use plagiarism detection tools like Turnitin to monitor AI-assisted writing.
  • Data Privacy Issues: Open-source AI models often store user data, raising concerns about confidentiality. Helsinki University’s approach of using localized AI models within EU regulations sets a precedent for other institutions.
  • Loss of Human Perspective: Dr. Tosh highlighted that while AI can generate well-structured papers, the lack of human insight and critical analysis remains a major concern.

Role of Librarians in AI Integration

Dr. Lahikainen underscored the evolving role of librarians in AI adoption. Libraries are now more than just repositories of books; they are becoming AI literacy hubs, helping researchers navigate ethical AI use. University librarians are also working on AI assessment frameworks to evaluate the risks and benefits of various AI tools.

AI is undeniably shaping the future of research writing, providing efficiencies and accessibility while also posing ethical and regulatory challenges. Institutions must develop comprehensive AI policies, invest in AI literacy training, and adopt responsible AI tools to maximize benefits while mitigating risks. As AI continues to evolve, collaborations between researchers, librarians, and technology developers will be essential in navigating the AI landscape effectively.
